{"id":6158,"date":"2017-08-10T00:01:24","date_gmt":"2017-08-10T04:01:24","guid":{"rendered":"http:\/\/mgrush.com\/blog\/?p=6158"},"modified":"2026-04-21T13:19:55","modified_gmt":"2026-04-21T17:19:55","slug":"meeting-killers","status":"publish","type":"post","link":"https:\/\/mgrush.com\/blog\/meeting-killers\/","title":{"rendered":"Meeting Killers: Eight Ways to Kill A Meeting and Your Reputation"},"content":{"rendered":"<h2><span style=\"font-size: 24pt;\"><strong>Below are eight habits we call <em>meeting killers<\/em> that every facilitator, or meeting leader, must avoid.<\/strong><\/span><\/h2>\n<h3><span style=\"font-size: 18pt;\"><strong>Neglect to prepare your participants in advance.<\/strong><\/span><\/h3>\n<p><span style=\"color: #035993; font-size: 14pt;\"><em>Meeting Killers: Have you ever been in a meeting where someone asks: \u201cSo, what\u2019s this all about?\u201d<\/em><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">People attending a meeting should know the <a href=\"https:\/\/mgrush.com\/blog\/meeting-introduction\/\" target=\"_blank\" rel=\"noopener noreferrer\">purpose<\/a> of the meeting before they accept. Since their input is presumably valuable, provide them with a pre-read package. Participants should show up properly <a href=\"https:\/\/mgrush.com\/blog\/workshop-documents\/\" target=\"_blank\" rel=\"noopener noreferrer\">prepared<\/a> to make the contributions they seek. That\u2019s why we call them <a href=\"https:\/\/mgrush.com\/blog\/selective-perception\/\" target=\"_blank\" rel=\"noopener noreferrer\">subject matter experts<\/a>. Time is precious, so you make sure to arrive on time, only to discover the meeting will be delayed (and possibly run late) because the session leader insists on waiting for latecomers.<\/span><\/em><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">As a professional session leader, do NOT wait for people who are running late. You do NOT want to penalize people who are on time. You don\u2019t even know if the people who are tardy will show up at all, so start promptly.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">If someone does show up late and needs to be informed or updated, pair them off with someone and ask them to go in the hallway for a quick debrief, while you continue.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">The last thing you want to do is stop the meeting and review (i.e., repeat) what has already transpired. Do NOT penalize everyone else and force them to waste time reviewing things they\u2019ve already heard once, twice, or even three times. Note that the first<a href=\"https:\/\/mgrush.com\/blog\/ground-rules\/\" target=\"_blank\" rel=\"noopener noreferrer\"> ground rule<\/a> we recommend is \u201cBe Here Now\u201d. \u00a0Control <a href=\"https:\/\/mgrush.com\/blog\/subject-matter-experts\/\" target=\"_blank\" rel=\"noopener noreferrer\">context<\/a> and be an enforcer, not a wimp. We also recommend starting your meetings five minutes after the normal start time. Conclude five minutes early. Be the one kind enough to know that participants deserve a few minutes between meetings to attend to stuff. Enhance your track record with punctuality and your reputation will soar.<\/span><\/p>\n<h3><span style=\"font-size: 14pt;\"><strong>Don\u2019t have a deliverable or any concept of what DONE looks like.<\/strong><\/span><\/h3>\n<p><span style=\"color: #035993; font-size: 14pt;\"><em>Meeting Killers: Have you ever been in a meeting where everyone seemed to have their own discrete and sometimes competing purpose?<\/em><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">As a <a href=\"https:\/\/mgrush.com\/blog\/facilitation-guidelines\/\" target=\"_blank\" rel=\"noopener noreferrer\">professional<\/a> leader, it\u2019s your job to ensure everyone fully understands the <a href=\"https:\/\/mgrush.com\/blog\/meeting-introduction\/\" target=\"_blank\" rel=\"noopener noreferrer\">purpose of the meeting<\/a>. Professional leaders always have a vision of success. More concretely, they can visualize what the meeting will produce or deliver. <a href=\"https:\/\/www.franklincovey.com\/\" target=\"_blank\" rel=\"noopener noreferrer\">Steven Covey<\/a> used the expression \u201cStart with the End in Mind.\u201d We prefer the expression of knowing what DONE looks like.<\/span><\/p>\n<h3><span style=\"font-size: 14pt;\"><strong>Don\u2019t have an agenda or any structure.<\/strong><\/span><\/h3>\n<p><span style=\"color: #035993; font-size: 14pt;\"><em>Meeting Killers: Have you ever been in a meeting where one comment (or one person) suddenly sends the discussion\u2014or, worse yet, the entire meeting&#8211;in a completely new and unrelated direction?<\/em><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">As the meeting leader, it\u2019s your job to prevent meeting <a href=\"https:\/\/mgrush.com\/blog\/scope-creep\/\" target=\"_blank\" rel=\"noopener noreferrer\">scope creep<\/a> from the <a href=\"https:\/\/mgrush.com\/blog\/meeting-introduction\/\" target=\"_blank\" rel=\"noopener\">beginning<\/a> until the end. Limit discussion unrelated to your deliverable. Your agenda is a road map that tells the group how you are going to get them to the deliverable. There is more than one right answer, so do not permit any arguments around context. As a leader, you have predetermined the best way, given your constraints, to get there. Not having an agenda is truly the \u2018kiss of death.\u2019\u00a0 Our curriculum focuses on agendas and tools. We provide many specific and useful suggestions for building agendas, here are a few:<\/span><\/p>\n<ul>\n<li><span style=\"color: #808000; font-size: 14pt;\"><a href=\"https:\/\/mgrush.com\/blog\/meeting-agenda-template\/\" target=\"_blank\" rel=\"noopener noreferrer\">The Best One-page Agenda for a Fifty-minute Meeting<\/a><\/span><\/li>\n<li><span style=\"color: #808000; font-size: 14pt;\"><a href=\"https:\/\/mgrush.com\/blog\/building-agendas\/\" target=\"_blank\" rel=\"noopener noreferrer\">Building Agendas to Deliver the Output You Need<\/a><\/span><\/li>\n<li><span style=\"color: #808000; font-size: 14pt;\"><a href=\"https:\/\/mgrush.com\/blog\/planning-agenda\/\" target=\"_blank\" rel=\"noopener noreferrer\">A Simple Planning Agenda for Agreeing on Who Does What by When<\/a><\/span><\/li>\n<li><span style=\"color: #808000; font-size: 14pt;\"><a href=\"https:\/\/mgrush.com\/blog\/single-question-approach\/\" target=\"_blank\" rel=\"noopener noreferrer\">Use the Single Question Approach to Build a Detailed Agenda<\/a><\/span><\/li>\n<\/ul>\n<h3><span style=\"font-size: 14pt;\"><strong>Begin every sentence with the word \u201cI\u201d as in \u201cI think . . .\u201d, \u201cI want . . .\u201d, \u201cI need . . .\u201d, \u201cI believe . . .\u201d, \u201cI feel . . .\u201d<\/strong><\/span><\/h3>\n<p><span style=\"color: #035993; font-size: 14pt;\"><em>Meeting Killers: Ever heard your meeting leader constantly refer to themselves in the first person?<\/em><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">As a leader, you should consistently substitute integral terms and pluralistic rhetoric such as <a href=\"https:\/\/mgrush.com\/blog\/stop-saying-i\/\" target=\"_blank\" rel=\"noopener noreferrer\">we, us, and ours<\/a>. Make sure everyone knows that this meeting is NOT about you. Walk the talk by controlling your <a href=\"https:\/\/mgrush.com\/blog\/rhetorical-precision\/\">rhetoric<\/a>.<\/span><\/p>\n<h3><span style=\"font-size: 14pt;\"><strong>Better yet, don\u2019t shut up.\u00a0 Start talking and never stop.<\/strong><\/span><\/h3>\n<p><span style=\"color: #035993; font-size: 14pt;\"><em>Meeting Killers: Ever go to a meeting and say nothing?\u00a0 <\/em><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">Why? Because the leader spoke one, long sentence from the beginning of the meeting to the very end. When anyone else is speaking, rarely should you, the leader, interrupt or cut them off.\u00a0 Remind them that you are servile, and the meeting serves to support them.<\/span><\/p>\n<h3><span style=\"font-size: 14pt;\"><strong>Disregard the use of any ground rules.<\/strong><\/span><\/h3>\n<p><span style=\"color: #035993; font-size: 14pt;\"><em>Meeting Killers: Have you been to a meeting where everyone is head down, buried in their laptops or phones?<\/em><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">Do not permit dysfunctional behavior. If everyone behaves and does whatever they want, you might as well not have a meeting. The adage, don\u2019t text and drive applies equally well for a meeting. A meeting where participants aren\u2019t paying attention (i.e., texting or checking email) is bound to end in a wreck\u2014one where the damage means economic loss for the company. If email must be responded to, ask them to take it out into the hallway where their keyboard inputting is not such a distraction. Build and use <a href=\"https:\/\/mgrush.com\/blog\/ground-rules\/\" target=\"_blank\" rel=\"noopener noreferrer\">ground rules<\/a>. You\u2019ll be glad you did.<\/span><\/p>\n<h3><span style=\"font-size: 14pt;\"><strong>Ignore your virtual or remote participants entirely.<\/strong><\/span><\/h3>\n<p><span style=\"color: #035993; font-size: 14pt;\"><em>Meeting Killers: Notice how teleconference or video-presence participants contribute much less frequently than live participants? <\/em><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">Remote folks are frequently ignored.\u00a0 Begin with them instead.\u00a0 Do not string them in at the end for additional comments.\u00a0 Ask them to take the lead.\u00a0 If you take a round-robin approach, start with them.\u00a0 If you create a virtual seating arrangement, put them upfront.\u00a0 However, make the ground rules apply to them as well.\u00a0 No multi-tasking, working on email, or shopping.<\/span><\/p>\n<ul>\n<li><span style=\"font-size: 14pt;\"><span style=\"color: #035993;\">How to Facilitate Virtual Meetings and Participants\u00a0<\/span><\/span><\/li>\n<\/ul>\n<h3><span style=\"font-size: 14pt;\">SUMMARY: MEETING KILLERS<\/span><\/h3>\n<p><span style=\"font-size: 14pt;\">Follow the suggestions above to ensure that the output and <a href=\"https:\/\/mgrush.com\/blog\/facilitation-best-practices\/\" target=\"_blank\" rel=\"noopener noreferrer\">next steps<\/a> of your meeting are clear, certain, and shared.
