Some employees might prefer having a root canal. At least with a root canal, pain medication is provided. You can lead better staff meetings, and quicker too, and here&#8217;s how.<\/h2>\n<p><span style=\"font-size: 14pt;\">There are good meetings, and there are long meetings, but there aren\u2019t many good, long meetings. Why are many staff meetings hated and what can you do about yours? Based on Agile\u2019s Daily Scrum, this procedure encourages self-advancing teams to meet briefly. Time-boxed to 15 minutes in duration, you may also call it a daily stand-up, a weekly roll call, or a monthly huddle. This approach assuredly provides better staff meetings.<\/span><\/p>\n<h4><span style=\"font-size: 18pt;\"><strong>Have a Clear Purpose and <a href=\" https:\/\/mgrush.com\/blog\/scope-creep\/\" target=\"_blank\" rel=\"noopener noreferrer\">Scope<\/a> for Your Staff Meeting<\/strong><\/span><\/h4>\n<p><span style=\"font-size: 14pt;\">People complain that they remain uncertain about the purpose of their staff meeting, even when it has concluded. Many managers assume that staff value developing an understanding of <a href=\"https:\/\/mgrush.com\/blog\/how-to-develop-questions\/\" target=\"_blank\" rel=\"noopener noreferrer\">WHAT<\/a> other staff members are doing. Many managers assume that staff will support one another when someone needs assistance. You know what happens when you assume.<\/span><\/p>\n<div id=\"attachment_4422\" style=\"width: 460px\" class=\"wp-caption alignleft\"><img wpfc-lazyload-disable=\"true\" loading=\"lazy\" decoding=\"async\" aria-describedby=\"caption-attachment-4422\" class=\"wp-image-4422 size-full\" src=\"https:\/\/mgrush.com\/blog\/wp-content\/uploads\/2016\/07\/Does-Your-Staff-Meeting-Sometimes-Leave-You-Going-in-Different-Directions-e1558300305880.png\" alt=\"How to Make Your Staff Meeting More Effective\" width=\"450\" height=\"519\" \/><p id=\"caption-attachment-4422\" class=\"wp-caption-text\"><span style=\"font-size: 14pt;\"><strong>Does Your Staff Meeting Leave You Going in Different Directions?<\/strong><\/span><\/p><\/div>\n<p><span style=\"font-size: 14pt;\">Since the purpose of the normal staff meeting rotates around sharing, emphasize <a href=\"https:\/\/mgrush.com\/blog\/humane-human\/\" target=\"_blank\" rel=\"noopener noreferrer\">WHY<\/a> sharing is important. It\u2019s not that we want bright and informed employees, so much as we want employees making more <a href=\"https:\/\/mgrush.com\/blog\/executive-presence\/\" target=\"_blank\" rel=\"noopener noreferrer\">informed decisions<\/a>. We seek decisions that support one another to help us reach our <a href=\"https:\/\/mgrush.com\/blog\/smart-measures\/\" target=\"_blank\" rel=\"noopener noreferrer\">goals and objectives<\/a>.\u00a0 We seek to change behavior when the meeting has concluded, to further enhance our efforts to excel. Be clear that you are seeking <em>change<\/em>, NOT simply information\u00a0<em>exchange<\/em>.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">If nothing has changed, then your staff meeting could be a waste of time. If something has changed, let\u2019s ensure we understand WHAT has changed, and more importantly, WHY. <a href=\"https:\/\/mgrush.com\/blog\/build-consensus\/\" target=\"_blank\" rel=\"noopener noreferrer\">Build consensus<\/a> around the rationale supporting the change, not only the change action itself. If something needs to change, it may be optimal to have it change much sooner than when you schedule your regular staff meeting.<\/span><\/p>\n<h4><span style=\"font-size: 18pt;\"><strong>The 3-Question Approach<\/strong><\/span><\/h4>\n<p><span style=\"font-size: 14pt;\">Use the <a href=\"https:\/\/mgrush.com\/blog\/rule-of-thirds\/\">trivium<\/a> formula of \u201cyesterday, today, and tomorrow\u201d (past, present, future) to modify the questions listed here for your needs.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">The <span style=\"text-decoration: underline;\">classic<\/span> three questions (with alternatives) are as follows:<\/span><br \/>\n<span style=\"font-size: 14pt;\">1. What did you complete yesterday? (What did I accomplish yesterday?)<\/span><br \/>\n<span style=\"font-size: 14pt;\">2. What are you focused on today? (What will I do today?)<\/span><br \/>\n<span style=\"font-size: 14pt;\">3. What impediments are you facing that we might help you with? (What obstacles are impeding my progress?)<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">Here\u2019s a <span style=\"text-decoration: underline;\">motivational<\/span> version:<\/span><br \/>\n<span style=\"font-size: 14pt;\">1. What did you do to change the world yesterday? (What did you accomplish since we last met?) <\/span><br \/>\n<span style=\"font-size: 14pt;\">2. What are you going to crush today? (What are you working on until our next meeting?)<\/span><br \/>\n<span style=\"font-size: 14pt;\">3. What obstacles are you going to blast through that may be unfortunate enough to be standing in your way? (What is getting in your way or keeping you from doing your job?)<\/span><\/p>\n<h4><span style=\"font-size: 18pt;\"><strong>Convert Your Staff Meeting into a Standing Meeting<\/strong><\/span><\/h4>\n<p><span style=\"font-size: 14pt;\">The original idea of a meeting that repeats itself the same date and time weekly, monthly, or quarterly, made that type of meeting to be called a \u201cstanding meeting.\u201d The term originally does not only imply that it stands at the same time on the calendar, it also implies that there is no need to sit down.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">People should stand at most staff meetings, and get done faster. The depth of information sharing requires that we all understand WHAT each other is doing. However, we probably don\u2019t need to know HOW it\u2019s going to be done. When someone goes \u201ddeep into the weeds\u201d they are probably talking about HOW, not WHAT they plan to do.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">We need to know for example that you \u201care going to pay the bills\u201d but we don\u2019t need to know that you are writing cheques or sending electronic funds transfers. We rely on you to execute the best way to get it done. Keep in mind the difference between <a href=\"https:\/\/www.amazon.com\/Meetings-That-Get-Results-Facilitators\/dp\/1523093153\/ref=sr_1_1?crid=MPJIKY9JRX4O&amp;dib=eyJ2IjoiMSJ9.2Feat8SuIMy6YGWG6BM84QGeDSspMjyBzSfahCNZ-bongv_y8CfFY1fHDTnPpV1Y4ml_UhrsjNMGaSC1rjQthhZsrVN6W-2Eaz0AhUvaaUo.a23YbxIHiAc29TXLsIKz9LTL_qfCztSkBZfddQb8VmE&amp;dib_tag=se&amp;keywords=meetings+that+get+results&amp;qid=1761772627&amp;sprefix=meetings+that%2Caps%2C217&amp;sr=8-1\" target=\"_blank\" rel=\"noopener\">WHAT and HOW<\/a> is relatively simple. What you do (e.g., \u201cpay bills\u201d) remains abstract while HOW you do it (\u201cwrite cheques\u201d) becomes concrete.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">When you impose the standing (rather than sitting) rule for your staff meetings, more people will stop talking when they have covered WHAT they are doing. They will spare us the gory details and time wasted about HOW they are going to do it. For the rare circumstance when sharing the HOW is important, participants may freely ask (\u201cHow are you going to do that?\u201d). But as long as participants remain standing, people will stay focused, and your staff meeting will provide the change you seek, only much faster than you currently realize.<\/span><\/p>\n<h4><span style=\"font-size: 18pt;\"><strong>Develop Consensually Agreed Upon Output from Your Staff Meeting<\/strong><\/span><\/h4>\n<p><span style=\"font-size: 14pt;\">Did you ever leave a staff meeting and ask \u201cWhat did we agree on in there?\u201d Worse yet, have you experienced more than one answer to that question? Perhaps contradictory answers?<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">Do not assume that your staff has extracted the same learnings and takeaways. Do something to facilitate and confirm that we are all agreeing on the same change and a similar course of action. All too often people leave a staff meeting and begin acting in ways that contradict one another. WHY? Because we have done nothing to facilitate and ensure common understanding.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\"><a href=\"https:\/\/mgrush.com\/blog\/meeting-wrap\/\" target=\"_blank\" rel=\"noopener\">Build an agreement<\/a> at the end of your staff meeting that reflects new actions learned as a result of the staff meeting. Again, if the new actions are thin and far between, perhaps we need fewer or quicker staff meetings. That brings us to our final point . . .<\/span><\/p>\n<h3><span style=\"font-size: 18pt;\"><strong>Final Comments<\/strong><\/span><\/h3>\n<p><span style=\"font-size: 14pt;\">Use the same technique for your weekly, biweekly, or monthly staff meetings. Although not exhaustive, <a href=\"https:\/\/mgrush.com\/blog\/scope-creep\/\" target=\"_blank\" rel=\"noopener\">scope creep<\/a> is prevented when progress reports are restricted to yesterday (past), today (present), and obstacles (future). Additionally, standing rather than sitting ensures that staff meetings remain brief, discourages wasted time, and keeps participants in scope.<\/span><\/p>\n<blockquote><p><span style=\"font-size: 14pt;\">NOTE: This approach does not provide the time and place to solve problems. Rather, the Staff Meeting makes the team aware of what people are working on. If detailed support is required, a separate meeting with appropriate participants is arranged after the meeting.
