The coordinator role is not always formal but must exist. Therefore, <a href=\"https:\/\/mgrush.com\/blog\/meeting-preparation\/\" target=\"_blank\" rel=\"noopener\">preparation<\/a> responsibilities include:<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li><span style=\"font-size: 14pt;\">Reserve the meeting room,<span class=\"Apple-converted-space\">\u00a0<\/span><\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Ensure the arrival of equipment and supplies,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Seeing to (and perhaps receiving and setting up) refreshments, and<span class=\"Apple-converted-space\">\u00a0<\/span><\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Giving support on participant requests such as logistics, timing, and travel information.<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ol start=\"2\">\n<li>\n<h4><span style=\"font-size: 14pt;\"><i>Documenter<\/i> (or, <i>Scribe<\/i>):<\/span><\/h4>\n<ul>\n<li><span style=\"font-size: 14pt;\">Occasionally this role is filled by an assigned scribe. But, frequently, the individual who is the facilitator performs this role alone. Regardless, the scribe must record the group&#8217;s ideas in an organized manner. However, documenters do not edit or change the <a href=\"https:\/\/mgrush.com\/blog\/meeting-documenters\/\">content<\/a> on their own. Responsibilities include:<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li><span style=\"font-size: 14pt;\">Set up the documentation software and tools,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Capture outputs and inflection points, not verbatim discussions,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Distribute the meeting or workshop notes, and<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Manage edits, document versions, and archives.<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h5 style=\"padding-left: 80px;\"><span style=\"font-size: 14pt;\"><b><i>Neutrality<\/i><\/b><\/span><\/h5>\n<p style=\"padding-left: 80px;\"><span style=\"font-size: 14pt;\">The scribe reacts to facilitator requests. Therefore, the role demands unbiased and <a href=\"https:\/\/mgrush.com\/blog\/content-neutrality\/\" target=\"_blank\" rel=\"noopener noreferrer\">neutral<\/a> behavior during facilitated sessions. Any judgment, evaluation, or \u201cimprovement\u201d of content potentially leads to a <a href=\"https:\/\/mgrush.com\/blog\/guard-against-bias\/\" target=\"_blank\" rel=\"noopener noreferrer\">biased<\/a>, distorted record of session output and must be avoided.<\/span><\/p>\n<h5 style=\"padding-left: 80px;\"><span style=\"font-size: 14pt;\"><b><i>Deliverable<\/i><\/b><\/span><\/h5>\n<p style=\"padding-left: 80px;\"><span style=\"font-size: 14pt;\">The <a href=\"https:\/\/mgrush.com\/blog\/facilitators-guide\/\" target=\"_blank\" rel=\"noopener\">meeting objective<\/a> is not recording minutes, but writing down outcomes and outputs with a sufficient amount of detail to enable accurate review and understanding. The output must satisfy the session deliverable and provide information for the product or project it supports. After that, the document trail serves as the group record of what is agreed upon. The deliverable provides a sense of group accomplishment. Frequently, the document trail provides the only artifact of clear results from the group effort.<\/span><\/p>\n<ol start=\"3\">\n<li>\n<h4><span style=\"font-size: 14pt;\"><i>Methodologist<\/i> (or, <i>Meeting Designer<\/i>):<\/span><\/h4>\n<ul>\n<li><span style=\"font-size: 14pt;\">The meeting designer&#8217;s role details the <a href=\"https:\/\/mgrush.com\/blog\/single-question-approach\/\" target=\"_blank\" rel=\"noopener noreferrer\">approach<\/a> or agenda steps used in a meeting. The source of the meeting design may change throughout the life cycle of a product or project. For example, in the planning phase, the meeting designer may be a strategic planner\u2014someone who understands how to develop an action plan.<span class=\"Apple-converted-space\">\u00a0<\/span>In the analysis phase, the meeting designer may be an analyst, a process expert, a business architect, or some combination. In the design phase, the meeting designer may be a workflow or user experience specialist.<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<h5 style=\"padding-left: 120px;\"><span style=\"font-size: 14pt;\">Responsibilities include:<\/span><\/h5>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li><span style=\"font-size: 14pt;\">Help the facilitator, business partner, and technical partner codify the deliverable and define the appropriate agenda steps to follow,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Provide succinct <a href=\"https:\/\/mgrush.com\/blog\/how-to-develop-questions\/\" target=\"_blank\" rel=\"noopener noreferrer\">questions<\/a> to ask and the optimal order for asking the questions,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Occasionally participating in meetings to ensure that the meeting output meets the standards of quality and consistency\u2014namely, that others can act upon the deliverable effectively, such as the product development, project, or <a href=\"https:\/\/mgrush.com\/blog\/scrum-facilitation\/\" target=\"_blank\" rel=\"noopener noreferrer\">Scrum<\/a> teams. While meeting designers may suggest content, their most valuable input comes from raising additional questions for the group.<\/span><\/li>\n<\/ul>\n<\/li>\n<li><span style=\"font-size: 14pt;\">The meeting designer&#8217;s role is not necessarily a single individual or even a person.<span class=\"Apple-converted-space\">\u00a0<\/span>For example, the executive sponsor could be the meeting designer in strategic planning.<span class=\"Apple-converted-space\">\u00a0<\/span>The meeting designer for buying travel tickets could be a system such as Expedia.<span class=\"Apple-converted-space\">\u00a0<\/span>The meeting designer could copy their design from a framework such as Scrum or SAFe.<span class=\"Apple-converted-space\">\u00a0B<\/span>usiness or technical partners (i.e., project management) frequently serve as meeting designers. <span class=\"Apple-converted-space\">\u00a0<\/span><\/span><\/li>\n<li><span style=\"font-size: 14pt;\">The session leader is commonly the meeting designer. If that&#8217;s you, seek out the expert of the deliverable\u2014one who clearly understands the questions to ask that will build the product needed, whether it\u2019s planning, requirements gathering, prioritizing, \u201chot wash\u201d, etc.<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ol start=\"4\">\n<li>\n<h4><span style=\"font-size: 14pt;\"><i>Facilitator:<\/i><\/span><\/h4>\n<ul>\n<li><span style=\"font-size: 14pt;\">The session leader role demands many, many tasks. Thus, the success of the session depends on your real skills, knowledge, and abilities as a group leader.<span class=\"Apple-converted-space\">\u00a0<\/span>The facilitator\u2019s role frequently includes <span style=\"font-size: 12pt;\">ALL OF<\/span> the traditional roles of \u201cFacilitator\u201d discussed below, along with the roles of \u201cCoordinator\u201d, \u201cDocumenter\u201d, and \u201cMethodologist\u201d, discussed above. Therefore, managing <a href=\"https:\/\/mgrush.com\/blog\/subject-matter-experts\/\" target=\"_blank\" rel=\"noopener noreferrer\">context<\/a> remains the key focus of the facilitator. Other responsibilities include:<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li style=\"list-style-type: none;\">\n<ul>\n<li><span style=\"font-size: 14pt;\">Create synergy by focusing the group and using your facilitation skills to enhance communications,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Ensure that all participants have an opportunity to participate,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Explain and enforce all of the roles,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Keep the group<a href=\"https:\/\/mgrush.com\/blog\/scope-creep\/\" target=\"_blank\" rel=\"noopener noreferrer\"> on track<\/a>,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\"><a href=\"https:\/\/mgrush.com\/blog\/active-listening\/\" target=\"_blank\" rel=\"noopener noreferrer\">Listen<\/a> actively to the discussion and challenge assumptions,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Manage the scribe and\/or the documents,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Observe the group and adjust when necessary,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Questions that achieve clarity\u2014aiding understanding among participants,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Recognize <a href=\"https:\/\/mgrush.com\/blog\/manage-group-conflict\/\" target=\"_blank\" rel=\"noopener noreferrer\">disruptive<\/a> behavior and create positive corrections, and<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Work to manage conflict that develops.<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h5 style=\"padding-left: 80px;\"><span style=\"font-size: 14pt;\"><b><i>Servant Leadership<\/i><\/b><\/span><\/h5>\n<p style=\"padding-left: 80px;\"><span style=\"font-size: 14pt;\">The facilitator role creates an environment where every participant has the opportunity to <a href=\"https:\/\/mgrush.com\/blog\/team-members\/\" target=\"_blank\" rel=\"noopener noreferrer\">collaborate<\/a>, innovate, and excel. Listening to and observing the team\u2019s progress will help you to better serve your participants. Above all, meeting leader skills reflect the core aspects of servant leadership.<\/span><\/p>\n<blockquote><p><span style=\"font-size: 14pt;\"><b><i>NOTE:<\/i><\/b><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">Begin to sense how much easier and yet more effective you could be if someone else coordinated the room, participants, and supplies. If someone else provides a detailed agenda with the activities to launch and questions to ask.<span class=\"Apple-converted-space\">\u00a0<\/span>If someone else managed the documents at the end of it all.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">In fact, as session leader, you could lead a <a href=\"https:\/\/mgrush.com\/blog\/planning-agenda\/\" target=\"_blank\" rel=\"noopener noreferrer\">planning<\/a> workshop in the morning for one group, at one facility, and a user experience workshop, in a different facility, for another group in the afternoon.<span class=\"Apple-converted-space\">\u00a0<\/span>And you could do so easily if the responsibilities of the coordinator, meeting designer, and scribe are assignedy. Specialization of labor led to economical growth around the world, but few realize the same concept applies to the traditional role of a \u2018facilitator.\u2019<\/span><\/p><\/blockquote>\n<h3><span style=\"font-size: 14pt;\"><b>Facilitation Skills<\/b><\/span><\/h3>\n<h4><span style=\"font-size: 14pt;\"><i>The Project Management Institute (PMI): <\/i><\/span><\/h4>\n<p><span style=\"font-size: 14pt;\"><span style=\"font-size: 12pt;\">PMI<\/span> identified three key skills that needed to be improved in project managers.<span class=\"Apple-converted-space\">\u00a0<\/span>Specifically, they mention improvement that needs to be made in:<\/span><\/p>\n<ul>\n<li><span style=\"font-size: 14pt;\">Abstract thinking (i.e., pulling in multiple perspectives),<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Planning (i.e., upfront loading), and<\/span><\/li>\n<li><span style=\"font-size: 14pt;\"><strong>Facilitation<\/strong><\/span><\/li>\n<\/ul>\n<h4><span style=\"font-size: 14pt;\">According to the <i><a href=\"http:\/\/www.nsaspeaker.org\" target=\"_blank\" rel=\"noopener noreferrer\">National Speakers Association<\/a>:<\/i><\/span><\/h4>\n<p><span style=\"font-size: 14pt;\">The principles and practice of <strong>facilitating<\/strong>, rather than preaching, provide the most effective means to create clear messaging. Therefore, listening and observing are core to the speaker&#8217;s success.<\/span><\/p>\n<h4><span style=\"font-size: 14pt;\"><i>International Institute of Business Analysis\u2122 (<span style=\"font-size: 12pt;\"><a href=\"http:\/\/www.iiba.org\" target=\"_blank\" rel=\"noopener noreferrer\">IIBA<\/a><\/span>\u00ae):<\/i><\/span><\/h4>\n<p><span style=\"font-size: 14pt;\">The <span style=\"font-size: 12pt;\">IIBA&#8217;s<\/span> Guide to the Business Analyst Body of Knowledge\u00ae known as <a href=\"http:\/\/www.iiba.org\/standards-and-resources\/babok\/\" target=\"_blank\" rel=\"noopener noreferrer\">BABOK<\/a>\u00ae Guide v3 stresses facilitation. When explaining disciplined and structured thinking, the term \u2018<strong>facilitate<\/strong>\u2019 appears 112 times over 514 pages. Statistically, approximately 25 percent of the <a href=\"http:\/\/www.iiba.org\/standards-and-resources\/babok\/\" target=\"_blank\" rel=\"noopener noreferrer\">BABOK<\/a>&#8216;s pages mention the need or link to the importance of facilitation.<\/span><\/p>\n<h3><span style=\"font-size: 14pt;\"><b>The List Goes On . . .<\/b><\/span><\/h3>\n<p><span style=\"font-size: 14pt;\">Many sources sing the praise and importance of facilitation.<span class=\"Apple-converted-space\">\u00a0<\/span>Yet what real skills are required and are they shared equally across all meeting types?<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">For this unique assessment, we took our own <a href=\"http:\/\/mgrush.com\/professional-facilitation-training\/\" target=\"_blank\" rel=\"noopener noreferrer\">Professional Facilitation<\/a> curriculum and compared it with . . .<\/span><\/p>\n<ul>\n<li><span style=\"font-size: 14pt;\"><i>International Association of Facilitators <\/i>(IAF) 18 Core Competencies,<\/span><\/li>\n<li><span style=\"font-size: 14pt;\"><i>International Institute for Facilitation<\/i> (<a href=\"http:\/\/www.inifac.org\" target=\"_blank\" rel=\"noopener noreferrer\">INIFAC<\/a>) 30 Master Facilitator Competencies, and<\/span><\/li>\n<li><span style=\"font-size: 14pt;\"><i>Institute of Cultural Affairs <\/i>(ICA) 35 Certification Competencies<\/span><\/li>\n<\/ul>\n<h3><span style=\"font-size: 14pt;\">Facilitator skills are not equally important in every facilitated session or meme.<\/span><\/h3>\n<ol>\n<li><span style=\"font-size: 14pt;\">Business Facilitation (or, formal organizations),<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Conflict Management (or, mediation),<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Community Facilitation (with a large stress on \u2018helping\u2019), and<\/span><\/li>\n<li><span style=\"font-size: 14pt;\">Instructional Facilitation (such as teaching, training, coaching, etc.)<\/span><\/li>\n<\/ol>\n<p><span style=\"font-size: 14pt;\">The combined result below compares 25 facilitator skills and scores the importance of each against the four types of facilitation.<span class=\"Apple-converted-space\"> <a href=\"https:\/\/mgrush.com\/blog\/facilitation-training\/\" target=\"_blank\" rel=\"noopener noreferrer\">Structured facilitator training<\/a> best supports business facilitation, followed by conflict negotiation, and finally, community facilitation and instruction of various types as shown in the chart below.<\/span><\/span><\/p>\n<p><span style=\"font-size: 14pt;\">For each skill, we force ranked from Low to High and to prevent repeating the same score.
